Use the Email Templates screen to view and add email templates. Emails are sent to the appropriate users when actions are taken on the Approvals screen. The system determines the email template to use based upon your system settings for Approval Tracking.

  1. From the left menu, click Approval Tracking, then click Email Templates. The screen displays a list of previously added templates.

  1. Click New. The following fields display:

  1. Complete the following fields and checkboxes (required fields are denoted with an asterisk):

*Email Template Name

Enter a name for the template. Legistar uses this name when choosing the templates to send during approvals.

Email Template Subject

Enter the text that you want to appear in the subject line of the email template.

Email Text

Enter the text that you want to appear in the body of the email template.

Use in Sequences

Select this checkbox to use this email template in approval sequences. For example, this checkbox is selected for the Individual Review Request template or the FYI template

Email Template Variable

Select one or more email template variables from the drop-down list available. Use the Email Template Variables screen to set up these variables.
