How to Restrict Drafters from Submitting Items to a Legistar Agenda After a Certain Date

Solution
These instructions show you how to enable a meeting status that allows you to restrict drafters from submitting items to an Agenda or Minutes after a certain date. You need to be logged into an admin account to complete these steps. 

Once logged into your Legistar Admin account, follow these steps:

Part 1: Adding new Meeting status to be used as "Closed" status (this is optional if you are re-using an existing status).
  1. Click Workflow Control
  2. Click Workflow Options
  3. Click Meeting Statuses
  4. Click New
  5. Type Closed in the Status Name field
  6. Select Agendas from the Show On dropdown menu
  7. Click Save

Part 2: Assigning new (or existing) Meeting status to be used as Closed Status.
  1. Click System Settings
  2. Select AGENDAS
  3. Find the Agenda Closed Status setting and assign a Closed status. (You can use an existing status if you skipped part 1).
  4. Click Save
When the drafter enters the Agenda date, or uses the Calendar control to select a date, for a Legislative File, the date will not be set if there is a Meeting on that date with the "Agenda Closed" or "Agenda Final" status. (see Admin for values set on these 2 settings) The drafter will receive the following message:

 "The deadline for scheduling agenda items for the "Meeting Body" on "Meeting Date" is closed. Please select a different meeting or contact your Administrator."
 
Note: This feature is per Body, meaning that if drafter creates City Council File, only City Council meetings are checked for final/closed status.
