When an Advanced Bulletin template is first created, it is available for all topics in your account by default. You can restrict access for a template to one or more topics. This allows you to create highly customized templates to be used by specific topic(s). Administrators that do not have access to the specified topic will not see the templates associated with the topic. For example, Topic Administrator Smith has access to Topic A, Topic C, and Topic D. Another administrator creates an Advanced Bulletin template and associates it Topic B. Topic Administrator Smith will not be able to access the Advanced Bulletin template nor use it to create an Advanced Bulletin.

Note that associating an Advanced Bulletin template with a topic does not mean that template will be used for all bulletins sent to that topic. It simply makes the template available to those topic administrators.

Assigning Custom Templates to Topics

You can assign a template to one or more topics when you create a new template or when updating an existing template. You can assign a template to any topic that you can access. To do so:

  1. On the Account Area toolbar, click Templates.
  2. On the Area Option toolbar, click Advanced Bulletin.
  3. Select the Custom Templates tab.
  4. Open the Advanced Bulletin template.
  5. Click the Assigned Topics tab.
  6. Select which topics to assign the template to. 
  7. Click Save changes.

Assigning Sample Templates to Topics

By default, Sample Templates are available to all topics. You can restrict access to Sample Templates so that administrators can only access a select few templates. To do so:

  1. On the Account Area toolbar, click Templates.
  2. On the Area Option toolbar, click Advanced Bulletin.
  3. Select the Sample Templates tab.
  4. Open the Sample Template.
  5. By default, all topics are assigned to the template. Click the Assigned box to deselect all topics.
  6. Select which topics to assign the template to. 
  7. Click Save changes.

Q. Can I create a template that is only to be used by one topic?

A. Yes. Once you have created the template, simply assign it to the appropriate topic.

Q. If an administrator has access to multiple topics, can they use a template that is assigned to Topic A to send an Advanced Bulletin to Topic B?

A. Administrators can use any template to which they have access to create an Advanced Bulletin. The administrator could use a template intended to one topic to send an Advanced Bulletin to another topic.

Q. Can sample templates also be restricted to certain topics?

A. Yes, Sample templates can be restricted. See the instruction above for details.

Q. When a new topic is created, will it automatically have access to any templates?

A. When an new topic is created, it will automatically be assigned to any sample template that is available to all topics. You will have to manually assign it to any custom templates or sample templates that are only assigned to select topics.

Q. Is there any way to give an administrator access to all Advanced Editor templates, regardless of what topics he or she is assigned to?

A. Yes, administrators can be granted access to all templates. Contact Granicus Customer Support for assistance.
