Subscribers can sign up with an email address or, if your topic or category is set up for wireless messages, a phone number. A separate subscriber list is maintained for each topic in your account. You might also have category-specific subscriber lists, if your categories are set up to allow for subscriptions. For more information about category settings, see Managing Categories.
Accessing a Subscribers List
To view all subscribers for a topic:
- In the left navigation menu, click Topics.
- Click the appropriate topic.
- In the Topic menu on the right, select Subscribers.
- Click "Search" to see all subscribers or enter information (such as an email address) and then click search to view matching results.
To view all subscribers for a category:
- In the left navigation menu, click Categories.
- Click the appropriate category.
- In the Category menu on the right, select Subscribers.
- Click "Search" to see all subscribers or enter information (such as an email address) and then click search to view matching results.
The table displays your subscriber records in alphabetical order. You can click on a contact to see the subscriber record. For information how to modify these records, see, Editing Subscriber Records.
Adding Subscribers
When adding subscribers, you can enter them manually, or uploading a .csv file. This article includes information for manually adding subscribers. For information about uploading subscribers from a .csv file, see Uploading Subscribers. Note that the method below does not allow for modifying subscriber question responses in bulk; use the upload method to do so.
To add subscribers manually:
- On the Subscribers page of a topic or category, scroll down to the Bulk Edit Subscribers section.
- Enter the subscribers' email or wireless addresses (mobile phone numbers) in the Add Subscribers box.
- Email: Email addresses must be complete with @ signs, and the correct domain (i.e. .com, .net, .org, etc.)
- Wireless numbers: For US numbers, the country code (1) must be included at the front of the number. This is different than uploading subscribers via CSV, where the country code is not included. For UK phone numbers, the country code should not be included.
The following formats are accepted:
- List with returns after each destination address
- Comma delimited list (john@Granicus.com,jane@Granicus.com)
- Comma delimited list with a single space after the comma (john@Granicus.com, jane@Granicus.com)
- Comma delimited list with a single space before the comma (john@Granicus.com ,jane@Granicus.com)
- Double spacing between addresses (john@Granicus.com jane@Granicus.com)
- Comma delimited list with a double spacing between addresses (john@Granicus.com, jane@Granicus.com)
- Quoted list (e.g., "john@Granicus.com""jane@Granicus.com")
- Quoted list with commas (e.g., "john@Granicus.com","jane@Granicus.com")
- If you want this list to replace the existing subscriber list for this topic or category, set the Replace Subscriptions field to Yes.
Notes:
- You might choose to do this if, for example, you're managing a topic you send to internal employees and want to replace your subscriber list with a current list of all employees.
- Any subscribers removed from the list when an administrator replaces subscriptions are NOT marked as deleted, and these subscribers will NOT be included in the Deleted Subscriber Report.
- Click Save to save your changes.
The system will begin importing subscribers. When your subscribers have been successfully uploaded, you will receive a confirmation email from Granicus. Any duplicate email addresses or wireless phone numbers are removed. The confirmation email will state whether some of your records were
suppressed or invalid. If none of your subscribers were successfully uploaded, you will be notified via email that your subscription upload failed.
You can also add a single subscriber, or multiple subscribers one-by-one, by clicking the
Create Subscriber button at the top of the
Subscribers page. Enter the subscriber's email address or phone number into the provided text box, and click
Save.
Deleting Subscribers
To delete subscribers individually (ideal for when you want to remove a small amount of your topic or category):
- On the Subscribers page of a topic or category, click the box next to each subscriber’s name in the Contacts list.
- If you want the system to send an email to these subscribers to let them know that their subscriptions have been removed, select the Send notification on delete check box.
- Below the list, click Delete Selected Topic/Category Subscribers.
To delete a large number of subscribers at once:
- On the Subscribers page of a topic or category, scroll down to the Bulk Edit Subscribers section.
- Enter the subscribers’ addresses in the Remove Subscribers box, separating each address with a comma.
- Click Save to save your changes or Cancel to cancel your changes.
Export Topic Subscribers
You can export a list of all subscribers for a topic, saving that list as a CSV file. This functionality is not available for categories. Network subscriber contact information (i.e. email addresses and wireless phone numbers) will appear as “Network subscriber” in your exported file.
To export the subscriber list to a CSV file, click the Export all button in the upper right corner.
Your output file will show the same information that display in subscriber records tables in govDelivery:
- Contacts. Displays the subscribers' contact information.
- Subscriptions. The number of topics they're subscribed to.
- Origin. How the subscriber record was created -- not, however, how the subscriber was added to a topic. (See Subscriber Origin for more information.)
- Modified. The most recent day and time when the subscriber record was changed.
